Current Charges Report

Overview

The Current Charges Report provides a real-time view of all charges, credits, and discounts listed under BILLING > CHARGES/PAYMENTS in the Current Charges section. It helps ensure accuracy in upcoming invoices and identifies any items that may not have been billed automatically.

Tips for Use

We recommend you review this report monthly:

  1. Before the sweep: To confirm all expected Current Charges are listed and accurate.
  2. After the sweep: To verify that all Current Charges were included on invoices.


Also look out for

  • Older Use Dates: If an item has a date from a period that should have been billed already, review the member’s Recurring Billing to make sure it’s active and the Next Bill Date is set correctly. Also, review the Membership Status on the Member Profile (if a Co-Member or Non-Member, see below)

    • Tip: To bill for outstanding Current Charges immediately, go to the CURRENT CHARGES section and click CREATE INVOICE. A new invoice will be created with those items which you can then send to the user and/or process a payment. 

  • Co-Member Charges: If the Co-Member does not have an active Recurring Billing under their own name, the charge will not sweep to an invoice automatically.

    • Tip: Delete the items and re-add them under the Primary Member's account, OR

    • Click CREATE INVOICE to bill the charges to the Co-member if they should pay separately. 

  • Non-Member Charges: Non-Members cannot have active Recurring Billings, so Current Charge will never sweep to an invoice automatically.

    • Tip: Click CREATE INVOICE to bill the charges.


Report Details

The Current Charges Report is organized by Member, listing each outstanding item in Current Charges line-by-line with the following details:

  • Date: Use date of the item
  • Item: Name of the product 
  • Description: Any notes added to the item
  • Qty: Quantity of items
  • Price: Unit price of item
  • Charge or Credit: Line total (Qty × Price)
  • Total: Subtotal for each member



At the bottom of the report, a final row summarizes TOTALS for all members across the Charge, Credit, and Total columns.



You can download the report as a PDF or CSV for further analysis.
