You can assign specific permissions to each Administrator based on their role and facility access. This applies to franchises, individual centers, and small workspace groups.
Setting Up Administrator Permissions
- Go to SYSTEM > ADMINISTRATORS
- Click the EDIT pencil to update an existing profile, or click ADD+ to create a new one. If adding a new administrator, be sure to fill out all required sections, designated with an *.
PERMISSIONS Section
Set permissions under the PERMISSIONS section, choosing the level of access for each facility:
- Default: Select the default facility this Administrator will see when logging into Deskworks. They can switch locations if permitted, but Deskworks will always reopen to their default.
- Get Notices: Tick the box if you want the Administrator to receive automated emails (e.g., monthly invoices, declined payments, receipts). Customize notices further in the OTHER section.
- Permission:
- None – Admin cannot access this facility.
- View/Edit – Admin can view and edit according to their assigned Role permissions. (Permissions for each Role are set in TASKS →)
- View Profile and Calendar Only – Admin can search for Member Profiles and view the Calendar, but cannot access reports or other functions.
OTHER Section
In the OTHER section:
- Assign a Role: Choose from Coordinator, Administrator, Accountant, Manager, or Master. Roles control access to Deskworks features, managed under TASKS →.
- Set a Printer Code (Optional): Track this Admin’s print jobs in Printer History Downloads.
- Customize notifications: Tick notice types to send to the Administrator. Untick any they do not need (e.g., Reservation Confirmations, Welcome Letters). GET NOTICES must be ticked in the PERMISSIONS section in order to receive these notices.
- Click SAVE to apply changes.
Note: Permissions are limited by the Admin’s assigned Role. Roles define what each Admin can view or edit, and are managed separately in the TASKS section.
