Co-Member Welcome Letter

New co-members automatically receive a welcome letter via email when they’re added to Deskworks. This email uses a separate, customizable template (similar to the one used for primary members) so you can tailor the message specifically for Co-Members. 


Send a Co-Member Welcome Letter

Co-Member Welcome Letters are sent automatically. To trigger an email, add a new co-member:

  1. With the Primary Member selected, go to Members > View/Edit Profile
  2. Scroll down to the CO-MEMBERS section and click NEW CO-MEMBER+
  3. Enter an email and any other relevant fields, then click OK

Once "OK" is clicked, an account is created and a Co-Member Welcome Letter is sent automatically via email.


Note: The Co-Member Welcome Letter is only triggered during the initial setup. Updating an email or any other info will not send the Welcome Letter again.


If you don’t want a co-member to receive a Welcome Letter, leave the email field blank when you first create their profile. After saving, you can click EDIT and add their email address.


Administrator Notifications

Administrators set up to receive Welcome Email copies will also receive copies of Co-Member Welcome Letters. Learn more about configuring Administrator Permissions & Notifications →


Customize the Co-Member Welcome Letter

  1. Go to Email Notifications > Co-Member Welcome Letter
  2. Edit the email template with your custom content. 
  3. Click SAVE


Tip: The default template includes basic registration confirmation text. Be sure to personalize it for your space!


What to Include in Your Co-Member Welcome Letter

You can customize the message with: 

  • Text: Write a warm welcome message, include details about your space, or provide instructions for using Deskworks. 
  • Links or Attachments: Add links or upload documents with external resources, guides, or community information. 
  • Shortcodes: Use the shortcodes listed on the email setup page to personalize the message (e.g., name, company, login, email).


Add the Co-Member Welcome Letter Template

If you don’t see Co-Member Welcome Letter under Email Notifications, add it in Setup > Tasks using the following details:

  • Task Name: Co-Member Welcome Letter
  • Task URL: setup/co-member-welcome-letter
  • Permissions: This task is an admin-only tool. Set Co-Member, Member, and Non-Member to "None". Assign access only to your administrator roles.
