Deskworks + ezeep Blue Integration
ezeep Blue is a cloud-based print management solution that allows members and guests to print without installing printer drivers. With the Deskworks + ezeep Blue integration, you can manage user access and print charges automatically across both platforms.
Integration Benefits
- Easy Member Onboarding: New members and co-members receive a Welcome Email from ezeep, inviting them to set up their ezeep account. Once activated, their ezeep account links to their Deskworks profile.
- Automatic Deactivation: When a member or co-member is inactivated in Deskworks, they are also inactivated (or deleted, depending on settings) in ezeep.
- Seamless Billing: All print activity tracked in ezeep is billed through Deskworks, appearing on the member’s monthly invoice.
Integration Setup
1. Request Integration Activation
Submit a Deskworks Support ticket requesting activation of the ezeep integration. We’ll confirm once the integration is live on your site.
STOP: Please set up Groups in ezeep BEFORE integrating with Deskworks. A user’s Group determines their printing permissions, so this step should be completed first to ensure smooth setup.
2. Connect ezeep to Deskworks
- Go to SETUP > PRINT SETUP, and click CONNECT.
- You will be redirected to an ezeep Sign in page. Sign in using your ezeep email address and password.
- Once connected, your ezeep Groups and Printers will be visible on the PRINT SETUP page in Deskworks.
3. Configure No Access Policy
Select your preferred "No access policy" to determine what happens when a user is inactivated in Deskworks:
- Suspend ezeep user account: The user will remain in ezeep if they are inactive in Deskworks. Since Ezeep charges by the number of users, this may result in unnecessary charges.
- Delete ezeep user account: The user is removed from ezeep if they are inactive in Deskworks, preventing additional charges. If reactivated in Deskworks, the user will be automatically recreated in ezeep.
4. Assign Groups and Printers
Groups should be set up in ezeep prior to integrating with Deskworks. The Group a user is assigned to defines their printing permissions.
- Default Group: From the dropdown, select the ezeep Default Group for each of your locations.
Printers: From the next dropdown, select the Printers available at this location.
5. Set Up Print Products & Map Pricing in Deskworks
Ensure all Print Products are configured in Deskworks under INVENTORY > PRODUCTS > Print Products Section.
Deskworks supports tiered pricing based on print volume. Example structure:
- $0.10 per page for up to 25 prints per month
- $0.09 per page for 26–100 prints per month
- $0.08 per page for over 100 prints per month
Deskworks automatically calculates accurate pricing based on the number of prints.
Under SETUP > PRINT SETUP, PLEASE MAP THE PART NUMBERS FOR:
- From the drop down, select the Print Product that correlates with the volume of prints.
- Use the "+" icon to add additional pricing tiers.
Billing & Print Management
As members print via ezeep, Deskworks tracks usage in BILLING > CHARGES/PAYMENTS > CURRENT CHARGES.
Charges are automatically added to the member’s invoice on their regular invoice date (i.e. when the sweep occurs).
Invoice line items will differentiate between B&W prints and Color prints. There will be one line for each. Detail can be reviewed within ezeep, if needed.
Co-member print charges are billed to the primary member's account.
