Avigilon Alta (Open Path) is a simple to use cloud-based door access system. The Alta<>Deskworks integration triggers Alta to send an email with credentials to new members allowing specific doors to be opened based on their Membership Plan. The integration can also be used to allow members or non-members to receive credentials for a reservation, allowing specific doors to be opened for reservations. Reservation credentials are sent 1/4 hour before the reservation and removed 1/4 hour after the Reservation.
Start by working with Alta to set up an account with them. They will assist you in the initial setup from the Alta side, including setting up your sites, locks and access groups in your Alta account.
To integrate with Deskworks, go to the SUPPORT HUB tab on your Deskworks sidebar and open a ticket, requesting the Alta integration. We will then return the Alta integration to you. To complete setup:
- Go to SETUP > INTEGRATIONS SETUP.
- Enter your email, password and organization ID.
- Select your "No access policy" from the dropdown.
- No access policy: Suspend Alta Access user account - automatically suspends users in Alta if they don't have any access groups. They will remain as an account in Alta.
- No access policy: Delete Alta Access user account - automatically deletes users in Alta if they don't have any access groups.
- Your Organization ID can be taken from the URL of the Alta Access Control Panel:
- Go to INVENTORY > PRODUCTS
- Click the EDIT button next to each Membership Product that should have an Alta Access Group assigned to it.
- On the EDIT PRODUCT page, under the ALTA ACCESS GROUPS dropdown, select the correct access group for this Membership and click SAVE. (The integration allows Deskworks to read, display and select Alta access groups.)
- Go to INVENTORY > RESERVATION UNITS
- Click the EDIT button next to each Reservation Unit that requires Alta access for a reservation, i.e. for which you want Alta Keys sent to enable people to open doors just prior to a reservation.
- In the ALTA ACCESS GROUPS dropdown, select the correct group for opening the necessary doors for a reservation for this room.
MOBILE APP INVITATION & USE
When a member gets a recurring billing with an Alta Access group, the member and co-members are pushed to the Alta Access system. The following email is sent to the user:
After installing the mobile app, the user should click the "Set up on Phone" button in the email. That authenticates the user in the mobile app with one click without typing login/email, password, etc. The process is quick and easy. The mobile app looks like this:
Under the hood, sending the invitation email creates a new Alta Access mobile credential which can be used on one mobile device:
This mobile credential allows quick authentication in the mobile app. Member doesn't have to know the credential ID or name. Clicking the "Set up on Phone" button in the email is enough to get into the mobile app.
WORKFLOWS & NOTES
NOTES FOR MEMBER DAILY ACCESS:
- Once all relevant Membership Products have an Alta Access Group assigned, you are ready to create New Members.
- NEVER CREATE A MEMBER OR ASSIGN AN ACCESS GROUP IN ALTA. THEY SHOULD ALWAYS BE CREATED IN DESKWORKS, which will push them to Alta.
- As soon as a Recurring Billing is created for a new member, they will be assigned to the appropriate access group and will be made active. If they have multiple Recurring Billings, they will be activated in all appropriate access groups.
- When a member is inactivated, or their Recurring Billing is inactivated, their access is removed in Alta.
- The email from Alta giving people access to a door or doors for a reservation is triggered a half hour before the reservation and removed a half hour after the end of the reservation. They will receive a confirmation of their reservation from Deskworks at the time the reservation is made, but their credentials to open a door are sent just prior to the reservation. This enables recurring reservations to be created.
