Salto KS Integration Setup and Use

Salto KS is a simple to use cloud-based door access system. The Salto + Deskworks integration triggers Salto to send an email with credentials to new members allowing specific doors to be opened based on their Membership Plan. The integration can also be used to allow members or non-members to receive credentials for a reservation, allowing specific doors to be opened for reservations. Reservation credentials are sent 1/4 hour before the reservation and removed 1/4 hour after the Reservation.


Start by working with Salto to set up an account with them. They will connect you with a local provider who will be your main point of contact for sales, service and support. They will assist you in the initial setup from the Salto side, including setting up your sites, locks and access groups in your Salto KS account.


How to Integrate Salto KS With Deskworks

Before you start:

  1. Open a ticket  with Deskworks requesting the Salto integration.
    • Salto requires that each client (you) is separately authorized to integrate between Salto and Deskworks, so it may take a few days for them to approve and whitelist. We handle this for you.
  2. Go to SETUP > INTEGRATIONS SETUP
  3. Click CONNECT

  1. Select your preferred "No access policy" from the dropdown: 
    • Suspend Salto user account: Automatically suspends users in Salto KS if they don't have any access groups. They remain users in Salto KS.
    • Delete Salto user account: Automatically deletes users in Salto KS if they don't have any access groups.
  2. From the next dropdown, select the Salto KS Site that you want to connect to each of your locations.

  1. Go to INVENTORY > PRODUCTS
    • Click the EDIT button next to each Membership Product that should have a Salto KS Access Group assigned to it. 
    • On the EDIT PRODUCT page, under the SALTO KS ACCESS GROUPS dropdown, select the correct access group for this Membership and click SAVE. (The integration allows Deskworks to read, display and select Salto KS access groups.)

  1. Go to INVENTORY > RESERVATION UNITS
    • Click the EDIT button next to each Reservation Unit that requires Salto access for a reservation (i.e. for which you want Salto Keys sent to enable people to open doors just prior to a reservation). 
    • In the SALTO KS ACCESS GROUPS dropdown, select the correct group for opening the necessary doors for a reservation for this room.

Note: If you have multiple centers in Deskworks, make your first center ACTIVE at the top of the Sidebar and attach the Salto KS access groups to Membership Products and Rental Units. Then, make the next center ACTIVE and repeat the process. The system accepts different access groups based on the Deskworks Active Center and the connected Salto KS Site.


Automation Workflows

Member Access

Once all relevant Membership Products have a Salto KS Access Group assigned, you are ready to create New Members. 


Activation: As soon as a Recurring Billing is created for a new member, they will be assigned to the appropriate access group and will be made active. If they have multiple Recurring Billings, they will be activated in all appropriate access groups. 


Deactivation: When a member is inactivated, or their Recurring Billing is inactivated, their access is removed in Salto.


NEVER CREATE A MEMBER OR ASSIGN AN ACCESS GROUP IN SALTO KS. THEY SHOULD ALWAYS BE CREATED IN DESKWORKS, which will push them to Salto KS automatically.


Reservation Access

Email Notifications: Users receive a Deskworks reservation confirmation at the time the reservation is created. Salto sends temporary access credentials via email shortly before the reservation begins (15 minutes prior). This timing allows users to create and manage recurring reservations in advance without receiving early or unnecessary access credentials.


Temporary Access: Access is automatically granted 15 minutes before the reservation start time and removed 15 minutes after the reservation end time. Users can access the doors with a smartphone using the instructions provided in the email sent from Salto prior to the reservation (mentioned above).
