How to Copy Additional Contacts on Member Invoices and Billing Emails

If a Member needs their invoices, receipts, and monthly billing emails sent to an additional contact—like an accounting department or another team member—you can easily set this up in Deskworks. There’s no need to forward them manually each month!


How It Works

Under the primary Member account, you’ll add a Co-Member with the email address you want to copy on billing emails. Then, enable the “Sees Accounting Info?” setting. This ensures they’ll automatically receive all invoices and receipts sent from Deskworks.


Steps to Add or Update an Additional Billing Contact

  1. Select the primary member’s account (the one with active recurring billing) using SmartSearch or User Search.
  2. Go to MEMBERS > VIEW/EDIT PROFILE.
  3. Scroll down to the CO-MEMBERS section.
  4. Do one of the following:
    • Click ADD CO-MEMBER+ to add a new contact.
    • Or click EDIT next to an existing Co-Member if they’re already listed.
  5. Enter or confirm the contact’s email address.
    • Other details like name, phone number, and login are optional. Fill them in if needed.
  6. Check the box for “Sees Accounting Info?”
  7. Click OK to save.


Once set, the contact will automatically be copied on all billing emails for that member. 


About the “Sees Accounting Info?” Setting

When the “Sees Accounting Info?” setting is turned on, the following features are enabled for the co-member:

  1. Automatically copies the co-member email on all invoices, receipts, and other billing emails for that member.
  2. Allows the co-member to update billing information on behalf of the primary account holder if they have portal access.


Important: If you DO NOT want the co-member/contact to have access to update billing info in the portal, simply don't create login details for them. They won’t automatically receive login information, and you don’t need to enter a login/password on their co-member profile. Only the email address is required for this to work.
